Here you will find information related to your department's upcoming refresh, including frequently asked questions and tips and tools to help you prepare for and experience an efficient replacement of your devices.
Frequently Asked Questions
Items that are covered are what we call End of Life (EOL) or out of warranty and beyond their usable life. In this refresh, IT is targeting PC’s, Thin Clients, and Laptops that are EOL only.
The following items are excluded from the hardware refresh:
- Monitors
- Webcams
- Speakers
- Jabber phones
- Desk phones
- Wireless mice/keyboards
- Mouse pads
- Chairs
- Tablets
- Printers
- Other peripherals such as hand scanners and label printers
Devices that are being refreshed are determined by their EOL status. In some cases, departments have devices that were replaced in more recent years and those devices are not yet eligible for a replacement.
IT will be conducting meetings with department leaders prior to replacement of devices regarding scope of hardware refresh, dates and times for the refresh, and all other pertinent information.
In an effort to reduce costs, in areas where a device is not shared among different users or there is the possibility of an employee to work remote or a hybrid schedule, a laptop will be placed in lieu of the PC. This will allow the user to take the laptop wherever they are and not be tied to a PC. This also reduces equipment costs where areas have a surplus of equipment that may have a lower degree of use. Laptop docks will also be provided to the end user to allow their laptop to be connected to monitors if they wish.
As an Organizational policy, employees are discouraged from saving files to their desktop as the files are at greater risk of being lost in the event a device needs to be reimaged or replaced. IT is not responsible for files saved to a desktop and will not save or transfer files for staff during the refresh.
Specialty software needs should be communicated to IT during your refresh discovery meetings. Failure to disclose specialty software needs to IT can cause your refresh to be postponed.

While the replacement of devices is not intended to cause a workflow stoppage, we do need staff flexibility as we work around you and your patients to replace devices. The dates and times of each refresh will be covered in the refresh discovery meetings for your department.
